A club runs on a timetable of classes by age and grade, a steady flow of people wanting to try a first session, and the occasional grading everybody needs to know about. Most of that ends up in a group chat, where nothing is counted.

Classes by age and grade
Set each class up with the days and times it runs, how many places it has and who is taking it: juniors, seniors, beginners, sparring. Every upcoming date is on your booking page with the places left, so a mat that holds twenty never has twenty-five on it.
A first class, booked properly
Trial classes are where new members come from. Offer a free or low-cost trial class with a few places, and newcomers book it themselves — with their details, and a reminder the day before, so fewer of them forget.
Gradings and seminars
A grading or a visiting instructor's seminar is a one-off date with its own places and its own price, paid when it is booked.
Kids booked by their parents
Confirmations and reminders go to whoever booked, which for the juniors is a parent. Brothers and sisters in the same class are more than one place in one booking.
The register
Open any class to see who is coming, how many places each and who has paid, and book somebody in who rang or turned up asking.
Cancelling a session
Cancel a date and everybody booked is told — a hall problem, an instructor off sick. They can move themselves to another date of the same class if there is room.
Honest limits
There are no memberships, direct debits or waiting lists yet, and no grade or belt records. If your club is funded by monthly memberships, you would collect those separately and use this for the timetable, trials and gradings.
